Salon booking systems: what to check before you choose
Compare vendors using one real appointment from your salon, from selecting a slot through rescheduling, cancellation and data export.
A sound system should fit your services, team, equipment, cancellation rules and data lifecycle. Recreate your hardest appointment and test the whole journey instead of starting with a feature list.
1. Can a client book without creating an account?
Check whether a client can use the salon link to choose a service, person and time, then receive a clear confirmation. A mandatory account adds friction and should have a stated purpose and data scope.

2. Does the system understand how a service is delivered?
One calendar block is not enough when a service has stages, processing time, a buffer or required equipment. Recreate the service that most often creates conflicts.
A colour service may occupy the stylist for only part of the visit but keep the chair occupied throughout. A beauty treatment may need both a practitioner and one particular laser.
3. Does the schedule cover the whole team?
Check working hours, breaks, leave, availability and schedule publication. Test what a staff member, manager and owner can see, and whether roles limit unnecessary access.
5. What happens after a cancellation?
Check whether an open slot can be offered to people waiting for a matching service. Availability must be checked again before confirmation so the process cannot create a double booking.
6. How does the system handle missed appointments?
No system can promise to eliminate no-shows. Assess reminders, absence history and the option to require manual approval after a salon-defined threshold.

7. Can the salon still accept phone and walk-in bookings?
Reception or another authorised person should add phone and walk-in appointments to the same calendar. Only then does online availability reflect what is really free.
8. How do reminders work and who pays for them?
Compare email and SMS separately. Check what the subscription includes and what the operator bills; do not assume an old SMS price still applies.
Ariveno includes appointment email messages. SMS is optional through the salon's own SMSAPI account and follows the operator's current price list.
9. Who controls the client relationship?
A booking system serves people who have already found the salon. A multi-salon directory may also acquire clients, so value that service separately from its subscription and commission.
Ariveno is not such a directory and does not promise client acquisition.
10. Can you download your data without asking the vendor?
Before importing, inspect the exit path: clients, future appointments, services, team, settings and images in reusable formats. Check access after cancellation and the deletion timetable.
11. How is salon data protected?
Review the data processing agreement, subprocessors, roles, administrative access, retention, backups, export and incident process. Ask for evidence rather than a general compliance claim.

12. What does a full year cost?
