Operations guide
A salon schedule must protect more than staff hours
An available team member is not enough when a service needs equipment, a workstation, a buffer or several stages. The schedule should combine the availability of the person, service, resource and technical time.
Test a difficult case with sample data. Do not use real client data or claim time savings that have not been measured.
Team
Set each person's working hours, breaks, leave and permitted services. Keep the draft schedule separate from the published availability clients can see.
Equipment and workstations
A slot is free only when both the right person and the required laser, chair or workstation are available. Two valid staff schedules must not combine into an impossible salon plan.
Buffers
Preparation, cleaning or rest time should block the correct part of the calendar without appearing to clients as an extra paid service.
Service stages
A colour appointment may include application with the stylist and chair occupied, processing while the stylist becomes free, then rinsing and finishing with both occupied again. One continuous block cannot use that opening correctly.
Online, phone and walk-in appointments
Every visit must enter one source of availability. An appointment kept in a separate calendar breaks staff and resource checks.
How Ariveno implements this model
Ariveno combines services, staff, resources, buffers and stages in one availability plan. You can rehearse the schedule with sample data before publishing it to clients.
Operational gate
Before publishing the schedule
Approve every constraint before clients see appointment times.
- Conflicts with existing appointments.
- Leave and exceptions to regular hours.
- Equipment and workstation availability.
- Buffers before and after the service.
- Stages that occupy the person and resource.
- The role authorised to publish.
- Behaviour when an existing appointment changes.
